TimeRewards for Sage Intacct: Time and Expense Tracking, Timesheets and Approvals1:42

What each team gets

One connection, and every team stops keeping its own copy of the same information.

  • Finance

    Coded labor

Approved time arrives in Sage Intacct with the dimensions it was entered against.

  • Project Managers

    Labor budgets

See the time spent on every project and whether it is staying within its labor budget.

  • Managers

    Caught early

Check hours, projects, and dimensions, and return incomplete timesheets for correction.

  • Employees

    Assigned work

Choose from the projects and tasks assigned to you, without learning accounting codes.

  • Grant Managers

    Grant reporting

Grant and program classifications travel with approved time into Sage Intacct.

Your Sage Intacct dimensions, from project, task, and item to department, location, and class, are synchronized into TimeRewards, so employees choose from your accounting structure instead of remembering codes, and see only the work assigned to them.

Only approved timesheets are sent to Sage Intacct, on demand, and each one keeps the dimensions it was entered against, ready for project accounting, cost allocation, grant reporting, and client billing.

The integration preserves the link between each employee's original time record and the accounting transaction in Sage Intacct. Submissions, approvals, and every correction stay on the record in TimeRewards.

What does connecting Sage Intacct involve?

Every Sage Intacct environment is different, so setup starts with how you manage projects, tasks, items, dimensions, and approvals, and is tested on a limited set of records before it reaches everyone.

  1. Connect

Connect TimeRewards with your Sage Intacct environment, then review your project, task, item, employee, and dimension structure.

  2. Map

Choose what to synchronize, map Sage Intacct records to TimeRewards fields, and set up employee assignments and approval workflows.

  3. Test

Sync a limited set of timesheets, validate the results in Sage Intacct, train your team, then expand to the full organization.

What moves between Sage Intacct and TimeRewards

DataDirectionWhat it means
Employees and Assignments Sage Intacct to TimeRewards Employees and their project assignments come from Sage Intacct, so each person sees only the work that applies to them.
Customers and Projects Sage Intacct to TimeRewards Your Sage Intacct customer and project dimensions are available at time entry, so hours are recorded against the structure finance already uses.
Tasks and Items Sage Intacct to TimeRewards Task and item dimensions, such as a labor or service item, come from Sage Intacct, so employees choose from defined codes instead of remembering them.
Departments, Locations, and Classes Sage Intacct to TimeRewards Department, location, and class dimensions are presented at time entry and stay attached to the hours they describe.
Other Dimensions Sage Intacct to TimeRewards Any other dimensions you have configured in Sage Intacct, such as grant, program, or contract, can be synchronized too.
Approved Timesheets TimeRewards to Sage Intacct Only approved time is sent to Sage Intacct, with the project, task, item, employee, and dimension references it was entered against.
Expenses TimeRewards to Sage Intacct Expenses recorded in TimeRewards are sent to Sage Intacct on demand, so labor and expense costs reach the same accounting system.

You choose what moves and when. The Sage Intacct sync runs on demand rather than on a schedule, so nothing reaches Sage Intacct until somebody sends it. What synchronizes depends on how your environment is configured.

Sage Intacct questions

If your question is not here, talk to our team or book a demo.

Which plans include the Sage Intacct integration?
The Professional and Enterprise plans. The Sage Intacct connection is not included on the Team plan.
What kinds of compliance does TimeRewards support?
TimeRewards supports four distinct compliance needs: DCAA timekeeping for federal contractors, 2 CFR 200.430 grant compliance for federally funded nonprofits, Single Audit/A-133 labor tracking by award, and IRS Form 990 functional expense reporting. TimeRewards provides the controls and audit-ready records these requirements call for, including daily time entry, change tracking, approvals, signatures, and complete audit trails. No software is certified for these requirements; auditors assess the organization, while TimeRewards helps maintain records that hold up to review.
What can TimeRewards synchronize with Sage Intacct?
It depends on your configuration. Employees, customers, projects, tasks, items, departments, locations, classes, and other dimensions come from Sage Intacct. Approved timesheets go back mapped to the appropriate Sage Intacct references, and expenses are sent too.
How often does the sync run?
When you run it. The Sage Intacct sync is on demand only, with no automatic schedule, so approved timesheets and expenses reach Sage Intacct at the moment your team sends them.
Does Sage Intacct stay our system of record?
Yes. TimeRewards is where time is entered, reviewed, and approved. Sage Intacct continues to serve as your financial and accounting system of record.
Are our Sage Intacct dimensions kept on each entry?
Yes. Relevant dimensions can be presented during time entry and are retained when approved time syncs, so a single entry can carry its project, task, item, department, location, and other dimensions into Sage Intacct. Available fields depend on your Sage Intacct configuration.
Can TimeRewards prevent employees from charging the wrong project?
TimeRewards supports project and task restrictions so employees are limited to authorized assignments, reducing the risk of mischarging.
Does the Sage Intacct integration support DCAA-compliant timekeeping?
The DCAA does not certify software, and Sage Intacct is not automatically compliant because you use it. TimeRewards supplies the timekeeping controls: daily entry, project and task restrictions, employee certification, multilevel approvals, locked periods, and a full audit trail. Our guide to DCAA-compliant timekeeping with Sage Intacct includes a readiness checklist.
