Where do the customers, jobs and classes come from?

Your accounting structure stays intact. TimeRewards reads your QuickBooks customers, jobs, service items, and classes, so time stays aligned. No duplicate lists. No renaming.

How does approved time become an invoice?

Invoice your way. Send approved time to QuickBooks for simple billing, or build customised invoices in TimeRewards with client-specific templates, documentation, rates, and service items.

What happens to contractor hours?

Approved contractor hours automatically become vendor bills, aligned with your QuickBooks accounting structure.

What does connecting QuickBooks involve?

Setup is a one-time job, done in TimeRewards. Nothing is installed inside QuickBooks and no files move between the two systems.

  1. Connect

Connect your QuickBooks company once. Authenticate your existing account and use the same integration with QuickBooks Online or Desktop.

  2. Map

Match your QuickBooks customers, jobs, service items, and classes to the work your team tracks in TimeRewards.

  3. Send

Approve once, then send timesheets, invoices, and vendor bills directly to QuickBooks with one click.

QuickBooks questions

If your question is not here, talk to our team or book a demo.

What kinds of compliance does TimeRewards support?
TimeRewards supports four distinct compliance needs: DCAA timekeeping for federal contractors, 2 CFR 200.430 grant compliance for federally funded nonprofits, Single Audit/A-133 labour tracking by award, and IRS Form 990 functional expense reporting. TimeRewards provides the controls and audit-ready records these requirements call for, including daily time entry, change tracking, approvals, signatures, and complete audit trails. No software is certified for these requirements; auditors assess the organisation, while TimeRewards helps maintain records that hold up to review.
Which plans include the QuickBooks integration?
Every plan. The QuickBooks connection is available on Team, Professional and Enterprise. One-click batch invoicing is a Professional and Enterprise feature.
Does it work with QuickBooks Desktop as well as Online?
Both. The integration behaves the same way on QuickBooks Online and QuickBooks Desktop, and you map the same customers, jobs, service items and classes either way.
How often does the sync run?
When you run it. There is no automatic schedule and nothing crosses on a timer, so approved work reaches QuickBooks at the moment your team decides it should.
Does data come back from QuickBooks, or does it only go one way?
Both directions. Customers, jobs, service items and classes are read from QuickBooks, and approved time, invoices, vendor bills and payroll hours are sent back.
Can contractor time become a vendor bill automatically?
Yes. Approved contractor hours are sent to QuickBooks as vendor bills, coded to the same projects and classes as employee time, so contractor cost lands in the same reports.
Do we have to change how our chart of accounts is set up?
No. TimeRewards reads the structure you already have. Your customers, jobs, service items and classes stay exactly as they are in QuickBooks.
